AI & Automation for Gyms & Fitness

Coach your members — not the front desk.

What is fitness automation?
Fitness automation is software that handles the admin and follow-up around a membership so your coaches and front desk don't have to. It covers member onboarding and billing setup, class and PT bookings, failed-payment chasing, retention check-ins, win-back for members who’ve gone quiet, and review and referral requests. A system watches for a trigger — a new sign-up, a declined card, a member who hasn’t booked in three weeks — and does the next step on its own. It handles the administration and the nudges, never the relationship: the coaching and the reasons a member stays are still your people. It isn’t a front-desk you rent or a replacement for a coach — it’s built on the booking and billing tools you already run, and you own it.
Why do gyms and studios automate?
Because a large share of the week goes into work that has nothing to do with training anyone. Re-keying a new member’s details, fixing declined payments, shuffling the class waitlist, sending the same booking confirmations, following up the members who’ve stopped showing — it’s necessary, it’s repetitive, and it’s usually done after hours by the owner or a front-desk person who’d rather be with members.
It also costs you where it hurts most, because the work that slips is the follow-up. The members you lose are rarely the ones who complain; they’re the ones who quietly stop coming and cancel a month later, or the failed payment nobody chased in time. Software is good at watching for exactly these signals and acting on them the same day — it doesn’t forget, and it doesn’t run out of evenings.
Automate the administrative layer and two things improve together — the routine work gets done faster and more reliably than a busy human manages, and your coaches and front desk get their hours back for the members in the room, which is the only thing that actually keeps people enrolled.
What we automate
Membership onboarding & billing admin
New sign-ups turn into a set-up member — details captured, billing configured in Stripe or Xero, welcome sequence sent — without anyone re-keying a form. Declined and failed payments get retried and chased on your rules, so memberships stop lapsing quietly because nobody caught the card that bounced.
Class & PT bookings
Bookings, confirmations, reminders and waitlist moves handled automatically across Mindbody, Glofox or GymMaster. No-shows get nudged, freed spots get offered to the waitlist, and the back-and-forth of finding a PT slot closes on its own — so your front desk isn’t living in the booking screen.
Lapsed-member win-back
The system watches attendance and flags members who’ve gone quiet — nothing booked in three weeks, a run of missed classes — and triggers a personal, well-timed nudge before they cancel. The coach steps in where it counts. You catch people at the moment they’re drifting, instead of finding out when they cancel.
Retention check-ins & referrals
Milestone and check-in messages fire at the right moments — first month, hundredth class, a personal best — and happy members get asked for a Google review or a referral while the goodwill is fresh. The relationship still runs through your coaches; the timing and the prompts run on their own.
What's complicated about automating fitness?
The hard part isn’t technical — it’s knowing what should never be automated. Retention is relational. The reason a member stays is a coach who knows their name and their goals, and no sequence replaces that. So the system handles the nudges, the reminders and the admin, and hands the moments that matter to a person. A win-back message opens the door; a coach walks through it.
The other complication is that a gym’s tools rarely talk to each other. The booking platform, the billing system, the access-control gate, the email tool and the accounting ledger were each bought at a different time for a different reason. Making a new member flow cleanly from sign-up to billing to access to their first class means wiring across all of them — booking and billing systems that were never designed to share a member.
The rule underneath it is the one we apply everywhere: automate the mechanical steps and the timing, and keep a human on the relationship — and every message that matters.
What does success look like?
Six weeks after go-live, the front desk has gone quiet in the good way. New members onboard themselves with billing already set up, declined cards get chased before a membership lapses, classes fill and reshuffle without anyone touching the booking screen, and the members who start drifting get a nudge the week they go quiet rather than a cancellation email a month later. Milestone check-ins and review requests go out on their own, and your coaches spend their hours on the floor instead of the follow-up. Nobody’s coaching any differently — your people are simply doing more of it, because the admin that used to surround every membership stopped being their job. It’s the kind of system we build for gyms and studios across Australia, from our base in Melbourne.

Fitness automation FAQs
The admin and the follow-up around a membership: onboarding a new member and getting their billing set up, class and PT bookings and the waitlist, chasing failed payments, retention check-ins, win-back for members who’ve gone quiet, and review and referral requests. It handles the paperwork and the nudges. The coaching, and the relationship that keeps someone coming back, stay with your people.
No. It removes the repetitive admin that stops them doing the work that matters — the manual billing fixes, the booking back-and-forth, the “did anyone follow up with that lapsed member?” A front desk that isn’t re-keying payment details or chasing no-shows has time for the members standing in front of them. The system does the process; your people do the relationship.
Yes. We build around the booking and membership platform you already run — Mindbody, Glofox, Hapana, GymMaster and the like — plus Xero and Stripe for billing, using their APIs. You don’t switch systems to work with us. If a tool has no usable API, we’ll tell you what’s realistic before you spend anything.
Yes — the admin side of it. It watches for a failed or declined payment, retries on your rules, and chases the member to update their card before the membership lapses, then reconciles cleanly back to Xero or Stripe. It doesn’t decide who to write off or cancel; it surfaces what needs a person and does the mechanical chasing that otherwise slips.
It watches attendance and flags members who’ve gone quiet — booked nothing in three weeks, stopped showing to their usual class — and triggers a personal, well-timed nudge rather than a mass blast. The coach can step in where it counts. The point is to catch someone before they cancel, not to carpet-bomb your list.
Most builds are two to six weeks from brief to go-live, and sit between $3,000 and $15,000 depending on scope. You get a fixed quote and a realistic date up front, and you own everything we deliver — no per-seat fees, no monthly platform rent.
No. A single studio owner is usually the one doing the billing fixes, the booking messages and the follow-up at 9pm. That’s exactly the load worth handing off first. We scope to what you run and what hurts most, so a small studio gets the same hours back without a platform it doesn’t need.
