Run the room, not the back office.

What is hospitality automation?
Hospitality automation is software that handles the administrative work around service so your team can stay on the floor. It covers booking confirmations and reminders, waitlists and no-show follow-ups, roster publishing and shift-swap comms, supplier ordering and stock counts, review requests and responses, and loyalty and marketing messages. A system watches for a trigger (a new booking, a published roster, a low stock count, a five-star night) and does the next administrative step on its own. It handles the admin, never the welcome. The cooking, the pouring and the hosting stay with your people. We build it on the POS, booking and roster tools you already run, and you own it.
Why do hospitality venues automate?
The margins are thin and the admin is relentless. Confirming and reminding every booking. Chasing no-shows, publishing the roster, answering the shift-swap texts, placing the same supplier order, counting stock, asking for reviews. Most of it gets done after close by a manager who’s already worked a full service. It bills at nobody’s rate, and it wears out your best people.
The mistakes cost real money. The things that hurt a venue are rarely bad cooking. They’re a no-show table that was never confirmed, a supplier order placed late, a roster that overshot the wage budget, a bad review that sat unanswered for a week. Software handles that kind of exacting, repetitive process well, and it doesn’t forget to send the reminder at 5pm on a Friday.
Automate the administrative layer and the routine work gets done faster and more reliably than a tired manager can manage at 11pm. Your people get their hours back for the service and the hosting that actually fill the room.
What we automate
Bookings & confirmations
New bookings get a confirmation, a well-timed reminder and an easy way to change or cancel. Waitlists fill cancelled tables automatically, and no-shows get a polite follow-up. The table turns over cleanly and nobody on the floor is chasing confirmations mid-service.
Rostering & shift comms
Published rosters go out the moment they’re set, shift-swap requests route to the right people, and reminders land before each shift. The manager stops fielding a dozen texts a night, and the venue stops running short because a swap fell through the cracks.
Supplier ordering & stock
Recurring supplier orders are prepared from par levels (the minimum stock you want on hand) and pushed through Ordermentum or your ordering tool. Low-stock counts get flagged before they bite, and the paperwork lines up for review. The order goes out on time without the manager doing it from home after close.
Reviews & loyalty
Happy guests get asked for a review at the right moment. Incoming reviews come with a drafted, on-tone reply for a person to approve, and your loyalty list gets warm, well-timed marketing. Reputation and repeat visits get looked after instead of forgotten.
What's complicated about automating hospitality?
The hard part is peak-time reliability. A booking system that works in a quiet demo but stumbles at 7pm on a Saturday is worse than none at all. We build for the busy hour rather than the calm one. The system has to hold up under load and fail safely, telling a person when something can’t send rather than dropping it silently. We’d rather it stop loudly than get a booking wrong quietly.
The other hard part is the tangle of systems. A venue’s bookings, POS, roster and supplier ordering usually live in four different tools that don’t talk to each other: SevenRooms or ResDiary, Square or Lightspeed, Deputy, Ordermentum. Making them behave as one through their APIs, without you switching any of them, is most of the real work. We build on the stack you already run.
Underneath both, the guest experience stays human. We automate the admin (the confirmations, the rosters, the orders, the review chasing) and never the welcome. The system handles the back office; your staff own the service, and every guest-facing message goes out in a human tone a person has signed off.
What does success look like?
Six weeks after go-live, the admin around service has quietly shrunk. Bookings confirm and remind themselves. Cancelled tables refill from the waitlist, and no-shows drop because the reminders actually go out. The roster publishes the moment it’s set and the shift-swap texts route themselves. The supplier order goes out on time from par levels, low stock gets flagged before it bites, and happy guests get asked for a review while the night is still fresh. The manager who used to do all of this after close gets their evening back. Nobody’s hosting any differently. They’re just on the floor more, because the back office stopped being their job. It’s the kind of system we build for venues across Australia, from our base in Melbourne.
The back office is one person.
Nobody puts this in a brief, so we will. The back-office system in most venues is one manager, a phone and a memory for who’s rostered on. That holds up beautifully. It holds up right until the week they’re away, which is reliably the week it costs money.
Why Better Automations instead of another agency?
Hospitality automation FAQs
The admin that surrounds service: booking confirmations and reminders, waitlists and no-show follow-ups, roster publishing and shift-swap comms, supplier ordering and stock counts, review requests and responses, and loyalty and marketing messages. We build for the paperwork and the messaging around the floor. The cooking, the pouring and the hosting stay with your people.
Yes. We build around what you already run (SevenRooms or ResDiary for bookings, Square or Lightspeed on the POS, Deputy for rosters, Ordermentum for supplier orders) using their APIs, the connection points each tool publishes for other software. You don’t switch systems to work with us. If a tool has no usable way in, we’ll tell you what’s realistic before you spend anything.
It has to, so that’s how we build it. Peak-time reliability is the brief from day one. The system is built to run at your busiest hour and to fail safely if something upstream goes down. A confirmation that can’t send gets flagged to a person instead of vanishing. We’d rather it stop loudly than get a booking wrong quietly.
Built properly, it does the opposite. The system takes the admin off the floor so your staff aren’t heads-down in a tablet chasing confirmations mid-service. The guest gets a prompt, human-toned reminder and a table that’s ready, and your team gets to actually host. We automate the back office, never the welcome.
That isn’t what we build it for. We build it to take away the after-hours admin a manager currently does off the clock: the confirmations, the roster texts, the supplier order, the review chasing. The manager gets their evening back, and fewer late nights go on the inbox instead of the floor.
Most builds take two to six weeks from brief to go-live and land between $3,000 and $15,000, depending on scope. You get a fixed quote and a realistic date before we start. You own everything we deliver, with no per-seat fees, no per-cover charge and no monthly platform rent.
Yes, and that’s where it pays off fastest. One system can publish rosters, chase confirmations, order stock and run review requests across every site, with each venue’s numbers shown separately so an area manager isn’t logging into six dashboards. The admin grows with the venues, and the evenings spent on it don’t have to.

A couple of lines is enough. It goes straight to Aidan, not a sales team, and if it isn’t worth building he’ll tell you.
- You deal with Aidan directly, not a sales team.
- A straight answer on whether it's worth building, and what it'd cost.
- You own everything we build. No lock-in and no per-seat fees.
